Power Automate Desktop: RPA Meets Cloud Flows

Power Automate Desktop (PAD) is Microsoft's robotic process automation (RPA) tool. It automates tasks in legacy desktop applications - the kind with no API, no export button, and no way to integrate except by clicking through the UI.

When to Use Desktop Flows

Use PAD when:

• The application only has a GUI (no API or data export)
• You need to interact with legacy Windows applications
• Data entry is manual and repetitive
• The process involves multiple desktop apps in sequence

Don't use PAD for tasks that can be done with cloud flows alone. Cloud flows are more reliable, faster, and easier to maintain.

The Cloud + Desktop Bridge

The real power comes from combining cloud flows and desktop flows:

1. Cloud flow receives a trigger (new email, new form response, scheduled time)
2. Cloud flow passes data to a desktop flow via a machine connection
3. Desktop flow opens the legacy app, enters data, extracts results
4. Results flow back to the cloud flow for further processing

Building Your First Desktop Flow

Open Power Automate Desktop and create a new flow. The recorder is the fastest way to get started:

1. Click Record in the toolbar
2. Perform the actions you want to automate (open app, click, type, copy)
3. Stop recording
4. Review and clean up the generated steps

Pro tip: Don't rely solely on the recorder for production flows. Manual review and hardening is essential - add error handling, wait conditions, and variable parameterization.

Machine Connections

Desktop flows need a machine to run on. You have two options:

• Local machine: Your own PC (good for development and testing)
• Hosted machine group: Azure VMs managed by Power Automate (good for production)

Hosted machine groups auto-scale based on queue depth and handle concurrent executions.

Common Pitfalls

• Screen resolution: Desktop flows are sensitive to resolution changes. Lock the resolution on your machine.
• UI element selectors: If the app updates, selectors may break. Use stable attributes (name, ID) over positional selectors.
• Timing: Add explicit waits instead of relying on default delays. Apps load at different speeds.
